Privacy Policy
How we handle personal data, why we hold it, and the rights you have over it under UK GDPR.

Who we are
Rentwire (“we”, “us”) provides AI-native property-management software for UK landlords and letting agents. For the purposes of UK data protection law we are the data controller for the personal data described in this policy. You can reach us at privacy@rentwire.co.uk.
What we collect
We collect only what we need to run the service:
- Account details — name, email, and organisation.
- Portfolio data you add — properties, tenancies, tenants, maintenance and compliance records.
- Open Banking data — read-only transaction information used to match rent payments. We never receive your banking credentials, and we cannot move money.
- Usage and device data — basic logs needed for security, diagnostics and improving the product.
How we use it
We use your data to provide and secure the service, reconcile payments, surface compliance deadlines, support you, and meet our legal obligations. We do not sell your data, and we do not use it to train third-party AI models. When you connect an AI assistant, only the data needed to answer a given request is shared with that assistant, and any action that changes a record waits for your explicit approval.
Lawful bases
We rely on contract (to deliver the service you sign up for), legitimate interests (to secure and improve the product), legal obligation (e.g. tax and accounting), and consent (for non-essential cookies and marketing, which you can withdraw at any time).
Sharing & sub-processors
We share data only with vetted sub-processors who help us run the service — for example cloud hosting, FCA-regulated Open Banking providers, and the AI assistant you choose to connect. Each is bound by contract to protect your data. A current list is available on request.
Data residency & retention
Your data is hosted in the UK. We keep it for as long as your account is active and for a limited period afterwards to meet legal obligations, then delete or anonymise it. You can export everything at any time and delete your account in one click.
Your rights under UK GDPR
You have the right to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent. To exercise any of these, email privacy@rentwire.co.uk and we’ll respond within one month. You can also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
